Summary

 

Under the direction of the Manager/Director the patient coordinator performs the coordination of all activities of the front desk which include clerical duties, utilization of the Cadence for ordering tests, admitting patients and scheduling patient appointments for all breast related procedures.  The patient coordinator schedules all consultant appointments and diagnostic tests for those patients needing further follow-up.  The patient coordinator is responsible for oversight of the volunteers and assigning volunteers appropriate tasks.

Coordinates BCC medical forms to include assembly for physician visits, biopsy procedures and clinic visits, applies appropriate visit category as applied by the clinical staff, and sends records to Medical Records.

 

Essential Duties and Responsibilities

• Supports and promotes the mission and values of Covenant Health Ministry.
• Implement clinical protocols and policies.
• Communicates effectively and professionally with patients, visitors, and families, as well as staff and physicians.
• Instructs patients for preparation for tests.
• Reviews orders for accurate information, special requests and correct procedure as ordered and reviews physician order for procedure/test.
• Registers or reviews pre- registration forms for BCC patients including: obtaining accurate patient and guarantor demographics, primary and/or secondary insurance information, and accurate employer and next of kin information.
• Reviews and explains all necessary forms and their purpose to all patients and/or responsible party, obtaining correct signature on all required forms.
• Issues each patient seen a standard hospital ID band.
• Understands the ABN process within Code Correct and is able to initiate process as needed.
• Orders, modifies and cancels charges for procedures done in the BCC.
• Assures there is a physician order for appropriate procedures and reviews order for all pertinent information.
• Coordinates scheduling of all follow ups, and workups for breast cancer patients, as well as all patients and procedures within the department and with other departments and prepares all x-rays, medical records and pathology for patient transfers /outside consults.
• Request and assures the presence of medical records including all vital reports necessary for patient’s visit.
• Provides patient and/or physician’s office with appropriate instruction and information when coordinating tests.
• Review and maintains all BCC schedules for accuracy of information obtained and possible conflicts.
• Manages Dr. Manoli’s schedule and diagnostic schedule for Tumor Board and Cancer Committee meetings.
• Notifies Manager of all scheduling changes and/or conflicts.
• Understands and applies the functions of the scheduling program Cadence for scheduling, rescheduling, modifying and canceling of procedures.
• Runs estimates for all diagnostic testing since “No Surprise Act”.
• Manage BCCP Clinic including scheduling provider coverage. Eligibility and billing information for patients.
• Coordinates tracking of Category 3 mammograms to ensure patients return for short term follow up as recommended by the radiologists and gives to Manager for review.
• Sending certified letters to patients not in compliance with Radiologist’s recommendations.
• Places Breast MRI orders and Genetic Referrals for high-risk patients.
• Orders all non-medical supplies for the department.
• Manages acquisition of outside images and reports for mammography comparison and localizations.
• Assists with orientation and delegation of responsibilities for our volunteers.

Education and Experience

• High School diploma or equivalent preferred

• Two years of medical secretarial school or equivalent knowledge of medical terminology and office protocols preferred 
• Associates degree in business/secretarial or healthcare preferred.

 

An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

Working Conditions/Physical Demands

Must possess the physical and mental abilities to perform the tasks normally associated with this position that involves a combination of sitting, standing, walking, bending, stooping, and reaching. Occasional lifting/carrying up to 25 lbs.  Some stress related to high level of responsibility for quality care.
